Clinic Policy

The below policies are in place in order to ensure that SW12 Skin Clinic can act in the best interest of its entire client database at all times and also in the best interest of the therapists providing treatments.

Patch Test Policy

Patch tests are required for specific treatments.

Lash lifts and Brow Lamination treatments
Must be performed at least 48 hours prior to your treatment. Patch tests must be renewed every 6 months if you have not had a treatment within the given time frame.
Tinting
Must be performed at least 24 hours prior to your treatment. Patch tests must be renewed every 6 months if you have not had a treatment within the given time frame.
It is the responsibility of the client to contact the salon to arrange the patch test appointment.

Late Arrival & No-show Policy

If you will be late for your scheduled appointment, you should email or call the clinic as soon as possible. In some circumstances, if your therapist does not have a client immediately thereafter, the clinic will accommodate your full treatment time, even if you have arrived no more than 5 minutes late. This is always at the therapists discretion and can only be offered if it will not affect the appointment time for other clients.

If you are more than 10 minutes late to your appointment, you will not be seen, and your treatment will not be fulfilled. You will still be charged for the full cost of your appointment.

If you are deemed as a no-show, do not attend for your scheduled appointment; you will be charged 100% of the treatment cost.

Cancellation Policy

SW12 Skin Clinic has a non-negotiable cancellation policy. A cancellation will be deemed as a late cancellation if it is not made within 24 hours of the scheduled appointment time. A late cancellation fee of 50% of the treatment price will be charged for all late cancellations.

Rescheduling Policy

Rescheduling of direct bookings must be prior to 24 hours of your scheduled treatment time. Any appointments that are rescheduled within 24 hours of your scheduled treatment time will incur a fee of 50% of the treatment cost.

Third Party Booking Policy

If you have booked via a third party booking platform, the policies specified by the third party company will apply for late cancellations and no-shows.

Please refer to the website you booked for further information on their polices.

Client Behaviour Policy

SW12 Skin Clinic always strives to offer the best possible service and treatments to our clients and therefore welcomes feedback from clients. SW12 Skin Clinic does not condone rude or disrespectful behaviour and therefore therapists have the right to refuse service to any client whom is rude or disrespectful to a therapist or member of staff.

Privacy Policy

This Privacy Policy explains how Opulence Wellbeing Ltd, trading as SW12 Skin Clinic (“we”, “us” or “our”), collects, uses, stores and shares your personal information when you book or receive treatments with us.

We are the data controller responsible for the personal information described in this policy.

Policy last updated: 21st October 2026

1. What Information We Collect

When you book a treatment with us, we may collect your name, telephone number, email address, age or date of birth, relevant health information and payment details where necessary.

We also keep records of appointments, treatments provided, products purchased, payments and any relevant treatment advice or aftercare recommendations.

We use this information to manage bookings, communicate with you, identify contraindications to treatment, assess whether a treatment is suitable, maintain client records and meet applicable legal and insurance requirements.

You do not have to provide your personal information. However, if you do not provide information necessary to assess whether a treatment can be carried out safely, we may be unable to proceed with your appointment.

2. How We Use Your Personal Information

We use your contact details to manage appointments, send booking confirmations and reminders, respond to enquiries and provide relevant treatment information.

Health information: We collect relevant information about your health, medication and medical conditions to identify contraindications and assess whether your chosen treatment can be carried out safely. Health information is special category personal data under UK GDPR. We rely on an appropriate lawful basis and special category condition to process this information, including explicit consent where applicable. We explain this purpose on our consultation form.

Treatment records: We maintain records of treatments and relevant advice to support continuity of service and meet applicable business, legal and insurance requirements.

Lawful basis: We generally rely on the performance of a contract to manage bookings and provide requested services, legal obligation where we must comply with the law, and legitimate interests where appropriate for necessary business administration and record-keeping. Where we rely on legitimate interests, these will be balanced against your rights and interests. Health information requires an additional condition under UK GDPR, as explained above.

3. Storage and Retention of Information

We use SalonIQ as our booking and client management system. Client information is stored electronically, with appropriate security measures and access restrictions.

We retain treatment records for seven years after the date of treatment, in accordance with our stated insurance requirements and retention policy, subject to any applicable legal obligations. Other information is kept only for as long as necessary for the purpose for which it was collected or to meet relevant legal requirements.

4. Payment Information

We use Stripe and Square, where applicable, to process payments.

Card payments are handled by the relevant payment provider. We retain appropriate transaction information for our business and accounting records but do not routinely keep paper receipts for accounting purposes and operate on a digital basis.

You can read more about how these providers handle personal information in their privacy policies:

  • Stripe: https://stripe.com/privacy
  • Square: https://squareup.com/gb/en/legal/general/privacy

These providers may process or store information outside the UK or European Economic Area. Where applicable, appropriate safeguards are required for international transfers in accordance with data protection law.

5. Marketing

We may send you information about our services, offers and clinic updates where permitted by law. Marketing preferences are separate from treatment bookings, and we will seek consent where required.

You can withdraw your marketing consent or unsubscribe at any time using the link included in our emails or by contacting us at info@sw12skinclinic.co.uk

This will not affect appointment-related communications.

6. Cookies and Our Website

Our website may use cookies and similar technologies to help it function, remember preferences and understand how visitors use it.

Where required, we will ask for your consent before using non-essential cookies. You can manage your preferences through our website's cookie settings, where available.

7. Who We Share Your Information With

We do not sell your personal information. We will only share relevant information with the following organisations where necessary:

  • Our IT service providers, booking providers and payment providers – SalonIQ, Stripe and Square.
  • Insurers, professional advisers and authorities: Where disclosure is necessary to meet an applicable legal obligation or deal with a relevant insurance or legal matter.

Service providers may process information on our behalf under contractual arrangements, while other organisations may process information under their own legal responsibilities. We take appropriate steps to protect personal information when sharing it.

Where a provider transfers information internationally, the transfer must be supported by appropriate safeguards where required by law.

8. Identity Verification

We may ask you to present valid identification where necessary for identity verification, age checks or safeguarding. We do not routinely retain copies of identification documents after checking them unless there is an appropriate legal or other justified reason.

9. Your Data Protection Rights

Under UK data protection law, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your information where applicable.
  • Ask us to restrict certain processing.
  • Object to processing based on legitimate interests or otherwise where the law provides this right.
  • Request a portable copy of eligible information.
  • Withdraw consent where our processing relies on consent.

These rights are subject to applicable conditions and exceptions. For example, we may need to retain certain records to meet legal or insurance requirements.

To exercise your rights or ask questions about your information, contact us at info@sw12skinclinic.co.uk

10. Complaints

If you have concerns about how we handle your personal information, please contact us at info@sw12skinclinic.co.uk so we can investigate.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at https://ico.org.uk/.
